FlowCTRL Suite

Privacy Policy

Effective date: April 29, 2026

This Privacy Policy applies to the FlowCTRL Suite beta products provided by FlowCTRL, LLC, including workbook-based tools, templates, documentation, licensing workflows, and related support communications. It does not apply to Explorer Session Saver, which is a separate FlowCTRL, LLC application with its own Microsoft Store privacy policy file.

What the FlowCTRL Suite processes locally

FlowCTRL Suite products are designed as locally operated field documentation tools. Depending on the licensed product and project configuration, the workbooks may process project and AFE information, material records, procurement status data, item ball data, pipe joint data, weld records, pressure test information, inspector-entered notes, NDE-related status information, drawing/export rows, and generated reports.

During the current beta workflow, FlowCTRL Suite products are not designed to automatically transmit project records, field entries, generated reports, workbook contents, telemetry, analytics, or advertising identifiers to FlowCTRL, LLC. Project records are expected to remain on the user's device, local network, company storage, Microsoft Teams, SharePoint, OneDrive, or other storage location selected or controlled by the user or the user's organization.

Information FlowCTRL, LLC may receive

FlowCTRL, LLC may receive information that a user or organization voluntarily provides, including support emails, screenshots, sample workbooks, installer logs, feedback, bug reports, project or AFE identifiers needed for beta licensing, contact information, and other details provided during beta support or product evaluation.

How information is used

FlowCTRL, LLC may use information provided by users or organizations to deliver beta access, support installation and licensing, troubleshoot issues, improve products, maintain business records, enforce license terms, communicate about product updates, and comply with legal obligations.

Sharing and sale of information

FlowCTRL, LLC does not sell or rent FlowCTRL Suite user information. FlowCTRL, LLC may disclose information when authorized by the user or organization, when needed for support or business operations, when required by law, or when necessary to protect FlowCTRL, LLC rights, software, users, or services.

Website and hosting logs

This website is intended to operate as a static informational site. FlowCTRL, LLC does not currently use advertising cookies or analytics scripts on this site. Hosting, domain, browser, security, or network providers may process ordinary technical information such as IP address, browser details, request times, and visited URLs to provide, protect, or troubleshoot web services.

User responsibilities

Users and organizations are responsible for controlling access to project records, protecting confidential or regulated information, following employer and operator data handling requirements, and redacting sensitive information before sending files or screenshots to FlowCTRL, LLC for support unless authorized to share that information.

Security and retention

FlowCTRL, LLC uses reasonable efforts to protect support communications and beta records it receives. No software, email, hosting service, or data transmission method can be guaranteed to be completely secure. FlowCTRL, LLC may retain support, licensing, and business records for as long as reasonably needed for beta support, product improvement, legal compliance, dispute resolution, and business administration.

Children

FlowCTRL Suite products are professional field documentation tools and are not intended for children under 13.

Changes

FlowCTRL, LLC may update this Privacy Policy as the products, licensing model, hosting, synchronization features, or support workflows change. Material changes will be reflected by updating the effective date.

Beta status

Beta Software Notice

FlowCTRL Suite products are currently beta field documentation tools. They may contain errors, incomplete features, workbook logic defects, installer issues, compatibility issues, or reporting defects. Beta access may be limited by AFE, project, product, user, organization, license status, or beta period.

The beta installer may present a FlowCTRL Suite Beta Test Agreement during installation. That installer agreement controls the licensed beta software. If any summary on this website conflicts with the installer agreement or a signed written agreement with FlowCTRL, LLC, the applicable installer agreement or signed written agreement controls.

FlowCTRL Suite products are provided for evaluation and beta testing. FlowCTRL, LLC may modify, suspend, revoke, or end beta access as described in the applicable beta terms.

Records and compliance

Field Records, Regulatory, and Safety Disclaimer

FlowCTRL Suite products help organize field data and generate documentation artifacts. They do not replace qualified inspection, operator procedures, project management review, engineering review, data records review, legal review, regulatory review, or any required acceptance process.

Pipeline and construction compliance requires professional judgment, applicable regulations, operator standards, contract requirements, and project-specific review. FlowCTRL, LLC does not guarantee that any workbook entry, validation, calculation, report, export, or generated document will satisfy PHMSA requirements, 49 CFR Part 192 requirements, operator requirements, project specifications, or any other legal, engineering, construction, safety, or documentation requirement.

Users and organizations remain responsible for verifying all source entries, formulas, imports, exports, reports, quantities, weld records, pipe records, material records, pressure test records, drawings, package contents, and final deliverables before use, submission, reliance, or distribution.
